Kinaway Business Visibility Program – Supplier Panel – Expression of Interest

The Kinaway Business Visibility Program is a new program that supports Victorian First Nations business owners interested in improving and boosting their businesses visibility.

PROGRAM OVERVIEW

Kinaway’s Business Visibility Program supports First Nations businesses interested in improving and boosting their businesses visibility.

The ‘Kinaway Business Visibility Program’ seeks to:

  • increase the visibility of the Aboriginal owned businesses, 
  • improve the quality of business marketing, and
  • improve the skills of business owners. 

The program provides selected Victorian First Nations businesses access to a range of tools and resources to market their business and increase their visibility across six service streams or categories. 

Kinaway’s Business Visibility Program aims to boost visibility outcomes for First Nations businesses and seeks to:  

  • increase the visibility of the First Nations business sector in Victoria and Kinaway’s First Nations business members.
  • facilitate activities that help improve the visibility of female-owned First Nations businesses and First Nations businesswomen. 
  • work with businesses to improve the visibility of their businesses online
  • work with businesses to improve the quality of their social media offering including their reach, engagement and conversion.
  • work with businesses to provide high-quality publicity outcomes that promotes their products/services and increases their visibility in traditional media. 
  • work with businesses to improve their capability and capacity to manage their online profiles and presence.

BUSINESS VISIBILITY PROGRAM – SUPPLIER PANEL

Kinaway is seeking Expressions of Interest from Aboriginal owned businesses that have the capability to provide services in relation to Kinaway’s new Business Visibility program.

Kinaway’s Business Visibility program will support Victorian Aboriginal businesses to improve their online visibility through activities to improve business website and social media presence.

An engaging online presence and conversion into sales is critical to the success of many Aboriginal businesses and Kinaway Chamber of Commerce is committed to improving and developing the digital capacity and capability of our member businesses.

Kinaway will continue supporting our members by offering a Business Visibility program which provides our members to access high-quality digital development services such as:

  • Category 1 – Website/E-commerce website development
  • Category 2 – Copywriting/Editing
  • Category 3 – Photography
  • Category 4 – Digital media marketing
  • Category 5 – Merchandising
  • Category 6 – Video production/Video content

 

PROJECT OUTLINE

Kinaway invites Aboriginal businesses to express their interest to join our Business Visibility program – supplier panel to provide services to our members through the soon to be released Business Visibility program.

The Business Visibility program will provide in-kind and direct funding to Kinaway members to access professional digital development services. Once a member is approved through the Kinaway Business Visibility program – member EOI process, the member is eligible to receive services under this program.

There are two core program components to the program’s service delivery:

  1. An online presence review
  2. Professional services delivery

PROGRAM COMPONENTS

  1. Online Presence Review

The member, dependant on the category of service requested, will be required to participate in an ‘online presence’ review.

The review will provide an assessment of the online visibility needs of the business and recommend improvements to existing digital infrastructure and collateral.

Once an online review is completed, the member business will then be provided with access to a relevant and appropriate level of service delivery to meet their assessed needs.

  1. Professional Services Delivery

Kinaway member program recipients will be provided with a list of preferred suppliers to select from to deliver the recommended services proposed in the online presence review.

The short-listed suppliers will provide a quote for services as outlined within the online presence review report. Program recipients will then select a provider to work. Kinaway will then contract the provider to provide services under the program on behalf of the recipient member.

The Business Visibility program offers categorised services where members will be required to select a supplier from the preferred panel of suppliers and services where the selection of preferred panel suppliers is optional.

There are three components in this Expression of Interest for preferred panel suppliers:

  1. Online presence review – review report document development
  2. Online presence review – delivery services
  3. Professional services – delivery services
  1. Online presence review – review report document development

We are seeking ONE supplier to provide a process for which reviews are undertaken. This work requires:

  1. A guide to be developed to be used by all preferred panel suppliers to complete an ‘online presence’ review for Business Visibility program recipients.
  2. A reporting template which outlines the issues and recommendations for professional service delivery to improve the businesses online presence. The reporting template should outline the improvements recommended, the estimated budget to implement the improvements and recommendations on actions and priorities as they relate to improving the business and the services available as part of the Business Visibility program.

2. Online presence review – delivery services

Kinaway is seeking a range of suppliers to provide online presence reviews under the program. The process of the reviews will be:

  1. The supplier completes a standardised reporting template which is provided to all preferred panel suppliers to complete an ‘online presence’ review of a Business visibility program applicant.
  2. The review process requires interviews with the business and desktop research.
  3. The reporting template will outline issues and recommendations for professional service delivery to improve the businesses online presence. The reporting template should outline the improvements recommended, the estimated budget to implement the improvements and recommendations on actions and priorities as they relate to improving the business and the services available as part of the Business Visibility program.
  4. The supplier will complete the reporting template and provide the report to Kinaway, completing the review process.
  5. The reviews are provided as a ‘flat-rate’ service. Suppliers will receive up to $150-350 to deliver a review report to Kinaway depending on the category of supply. Noting that website reviews will attract the highest rate of payment under these reviews.
  1. Professional services delivery

We are seeking a range of suppliers to provide professional service delivery:

  1. A completed ‘online presence’ review will be provided to the shortlisted professional services provider.
  2. The online presence review report will outline issues and recommendations for professional service delivery to improve the businesses online presence. The report will outline the improvements recommended and recommendations on actions and priorities as they relate to improving the business and the services available as part of the Business Visibility program.
  3. The review document will provide a prioritised list of the professional services the supplier is being sought to supply to the Business Visibility program recipient.
  4. The supplier is then requested to provide a quote for supply of those services in relation to the recommendations in the review report.
  5. Quotes will then be considered by the Business Visibility program recipient in consultation with Kinaway and the recipient will select their preferred supplier.
  6. Kinaway will engage the preferred supplier in the work for the benefit of the recipient and provide a contract for the recipient and the supplier.
  7. In some instances, Business visibility program recipients may be able to use a supplier that is not on the preferred supplier list. These suppliers will be required to work to the recommendations of the ‘online-presence’ review report.
  8. Discovery Call – Suppliers will be requested to provide a ‘Discovery call’ to program recipients (on request).

PROFESSIONAL SERVICES CATEGORIES

Professional Services Delivery – Categories

Category 1 – Professional services delivery – Website/E-Commerce website – The requirements of professional service delivery of websites is outlined below. Suppliers of website development services are requested to demonstrate their capability to provide services to one or more of the following levels.

Website infrastructure:

  • Basic: A basic website that is created for the recipient to populate the website with their own content and images. Example owners of this website could be a consulting business or construction business.
  • Intermediate: website build that is ‘ready-to-go’. It includes content copy and images. Functionality will be minimal such as a contact form or integration of other plugins. For example, a restaurant connected to existing ordering platform, bricks and mortar retailer with existing Shopify platform. This could also include transitioning existing websites to e-commerce ready sites.
  • Integrated: A ‘bells and whistles’ website build that includes content copy and images. Functionality will include plugins and integration of other platforms such as online store/sales platforms. Example owners of this website could be an e-commerce/retail business, a retailer/wholesaler or creative with online sales.
  1. Category 2 – Copywriting/Editing – copy writers to develop high-quality written copy for Intermediate and Integrated websites.

  2. Category 3 – Photography – photographers to develop high-quality imagery for:
    • Intermediate and Integrated websites
    • Social media or marketing collateral
  3. Category 4 – Digital media marketing – Social Media Management/Content development for a range of social media channels such as facebook, Instagram and Linkedin.
  4. Category 5 – Merchandising
    • For photography for Intermediate and Integrated website
    • For Social media or marketing collateral

DEMONSTRATING YOUR CAPABILITY

What will you need to demonstrate in your Expression of Interest

  1. Demonstrate knowledge and experience in providing one or more of the above services through a Capability Statement and or portfolio of work and/or website link and examples of works.
  2. Demonstrate business capability through example service level agreements, where relevant.
  3. Provide the required qualifications and accreditations to demonstrate your business is ‘fit for purpose’ to deliver stated You will be requested to include any documents or bios to demonstrate this.
  4. Provide suitable insurance policies for the delivery of such services. You will be requested to provide your certificates of insurance cover for professional indemnity and public liability, where relevant.
  5. We highly encourage suppliers to this program to collaborate with Kinaway member businesses to deliver services to program recipients. The Expression of Interest will request you to demonstrate where you are incorporating Victorian Aboriginal business procurement into your supply chain delivery for these projects. Any sub-contracting or joint venture arrangements must clearly outline the outsourcing plans, roles and responsibilities, the break-up of fees and staffing arrangements working on projects.
  6. Demonstrate your plans to operate and fulfil contracted requirements where there are mandated social distancing restrictions.
  7. Demonstrate your capacity to deliver your services to Aboriginal businesses located throughout Victoria including providing a description of how you will suitably service businesses based in regional Victoria.
  8. Provide an estimate of the standard delivery timeframes for each category level you will be supplying above.
  9. Demonstrate what your plans are to deliver a transfer of skill and knowledge to the Aboriginal business during the delivery of your services.
  10. Demonstrate your value for service, including your fee structure. Suppliers will be requested to provide information regarding their delivery of ‘Discovery calls/meetings’ with program recipients which will to assist them to make an informed decision as to their selected supplier for their project.
  11. Provide a schedule of any proposed ongoing costs to the recipient as part of the delivery of your services and who would be responsible for those costs e.g. hosting fees, plug in or subscriber fees.

THE FINE PRINT

The Fine Print

Being accepted as a panel supplier for this project does not constitute guaranteed work through the duration of the program. Selection from the panel is based on funding recipients selecting your business as their preferred supplier. Selection may be based on a range of factors including quoted price, service level offered, ability to start and complete projects with the recipient’s timeframe, customer service and relationship management. Note that your services may not be selected or they may be selected several times.

Kinaway reserves the right to review or terminate your panel status arrangement at any time. As a member of the panel you will be required to notify Kinaway when you are not able to supply e.g. where you are not taking on more clients or where extended holidays are being taken.

Kinaway may review or terminate membership on a panel where it determines the service provider has not met the terms of an agreement, has not provided services to a required standard or funding for the program has been exhausted or the program date has expired or for any other business reason.

will be assessed between Friday 16 April and Thursday 22 May.

Expressions of Interest for Online presence review – delivery of review reports and Professional Services Delivery will be assessed between Friday 20 April and Thursday 6 June.

Successful Expressions of Interest will be notified from Friday 16 April.

Delivery of Services

Once you are notified of your successful Expression of Interest, your details will be loaded on the Business Visibility Program webpage on the Kinaway website. Once your details are loaded onto the website your services will be available for recipients to select as part of their service delivery under the program.
